Attendees via Conference Bridge

The meeting this month was held via conference bridge as the room at Moe’s was
already booked. We only had committee readouts from a few of the committees, as
follows.
Committee Reports
Registration – Marie W
Marie advised that there are 145 people registered for the weekend. The weekend
accommodations now FULL; there are 4 bed vacancies for Friday night only. Marie
has registrations/payments in hand for 3 people who paid before the deadline
plus another registration/check that paid after the early bird discount expired.
Additionally, she has 5 more receipts from people that paid via PayPal but
haven’t submitted the registration forms yet.
Lianne talked to Jill Allison and Melissa Garza about possible options for
additional overnight lodging earlier today.
OPTION 1 – Echo Hill has 14 bunk beds + 8 leader beds. There are also 12 cots
that can be set up in the back half of the partitioned room. Barb and Diane
offered to move to a cot in EH so another participant could have their bed.
OPTION 2 – Farmhouse has not been rented by any groups at this time. It has 4
bunk beds in a leader room and 16 mats that can be spread “slumber party style”
on the floor. It was suggested we only put 8 mats out so that there is some
walking space between the mats.
Lianne will work with Marie W. to come up with written options for the
waitlisted folks:
a. Change from weekend to Friday only (just 4 slots available)
b. Continue to wait for another participant to cancel to free up bed
c. Offer waitlisted folks the option of staying on a cot in EH or at Farmhouse
(we would continue to offer the $65 early bird pricing)
Publicity – Barb Osment
Barb went to the Council office, Henry County and Area 3 cluster meetings and
shared fliers at the other two cluster meetings publicizing MM Weekend.
Website – Marie L
Marie updated the new pricing on the website on 11/15. She has now closed online
payments. She continues to post notes on the website as classes become full.
Marie can create alternate payment options if we agree to move forward with
alternate lodging options.
Planning Committee Fall Retreat – Becky
Our fall retreat at Becky’s house was lots of fun. Shannon advised that Jaylen
is missing a blue ball toy – please check your bags as it may have accidentally
gone home in someone else’s belongings? Also, Becky is missing her Amicalola
Falls fleece jacket.
Decorations – Shannon asked when she should order the patches for the weekend.
We agreed to wait until 12/15 and see exact number registered at that time.
Meals – Mary K.
Mary to work with Barb and bring final menus to December meeting. Marie W. to
email Mary dietary restrictions/allergies.
Classes/Workshops
Several classes are now full (see web page). The following classes have been
cancelled due to low enrollment: 29-Low Adventure course, 76-Challenge Tower,
91- Singing with Sign Language (2nd class only); 95-Yo Yo's, 100-GS
Structure-Tying it all Together, and Soul Line Dancing. Preliminary class counts
were provided to instructors on 11/17. Another count will be provided around
12/4 and a final class count will be given to instructors on 12/20.
At our next meeting, Lianne will present drafts of the confirmation email packet
to be sent to participants. We will have our check-in packet stuffing at our
January meeting on 1/13.
Our next meeting will be on December 16th at 7PM at Lianne’s house. We will have
a “holiday party” potluck dinner. Lianne will provide
plates/napkins/silverware/glasses. We will have a sign up for the food - bring
appetizers, side dishes, desserts, beverages, etc. There are 20 on the planning
committee (let us know if you won’t be able to make it on the 16th).
