Time Line Review

AUG - Purchase check-in folders (usually 10/$1 during Back to School sales) if they haven’t been donated or purchased. Classes/trainers must be finalized by 8/5. Publicity committee to prepare information to be shared at Cluster meetings announcing that registration packets are available online & promoting event. Review final registration flyer at Aug Committee meeting.   Make final changes/complete registration flyers and information packet (8/26) and email to Marie L.

SEP – “Preferred registration” (including online registration, if available) for staff/volunteers will be available beginning 9/8 (9/8 – 9/14 “preferred registration”). “Early bird registration” for all will begin 9/15. Prior attendees will receive email notification that registration packets are available and registration has begun on 9/15. Publicity committee representative attend cluster meetings to promote event and answer questions. Register campers as forms come in and deposit checks max every 2 weeks; email confirmations sent w/in 2 wks of registration. Create preliminary patch designs.

Committee Reports

Admin (Lianne) – Admin (Lianne) – We established a technology sub-committee to evaluate/implement online registration. This will need to be incorporated with our website and include a database (may not use current database). Marie L and Marie W have been included, and progress is being made, but it probably will not be ready in time for our September registration launch (may be able to launch it later and offer folks the opportunity to “beta” test it this year). Lianne to check with Bebe and see if we can get wired or wireless internet connectivity for the weekend (we can provide our own wireless router if we can connect it to something). People who don’t pay online via PayPal at time of online registration will be entered into classes on “standby” status until check is received by Marie W – then she can move them to paid and fully register them for the class.


Entertainment
(Sheila Mills) – committee has been established and having regular meetings. Saturday night sing-along with visit from JGL (Carla Lindemann in costume). There will be song books available for folks to take back and online.  Will have more graces to choose from and will be laminated/on the table. Cabins will be assigned meal and will choose the grace to lead (it will be lead in middle of meal to ensure most participants are present and out of line). Cabin will have grace/clean-up at same meal. 

Meals (Kathy Stephan) – Kathy emailed menu choices for the meeting. The committee voted on choices and had some questions for Kathy to take back. See attached.

Trainers/Classes (Mary) – classes still being finalized. Can Becky Harris offer Girlz Rulz Toolz? Also, we want Diana Snyder to teach Pysanky instead of printmaking – Kippy to confirm.

Publicity (Barb Osment) – not present – Marie L. posted online a flyer from Barb that was shared at Trainer Weekend and the SU Team conference. The Save the Date flyer has been shared at the SU meetings.

Historian (Rose Lowe) – no updates.

Website (Marie Lott) – Marie needs the minutes and other materials to be posted to the website (Sorry Marie – I promise it’s coming ASAP!)

Registration (Marie W) – Marie provided the database to the developers and has started working on cleaning up reports, etc. in the database. We will need to move forward with manual registration for now – online registration is still not ready.

Unit Check-in/Camp Setup (Kippy) – Kippy has all the signs/materials from Laurie

Trainer Gifts (Karen) – will be checking out possibilities at National Convention.

Camper Recognitions/Door Prizes (Diane) – no update

Guest Services (Melonie) – no update.

Possible retreat weekends (individuals shown CANNOT attend) – Becky, do any of these work for you??
