Jeanne turned in everything for Virginia’s paver brick for the council.

 Subcommittee Reports

Registration – Marie W no update

Participant Check-In – Shannon.  no update. 

Colleen advised the she was able to get 8 orange and 2 blue folders (her Office Depot did have a limit.)  Colleen needs to know how many more of her colors she still needs. ([Lianne] looking at last month’s meeting notes, Colleen was to purchase 22 blue and 18 orange total).

 Camp/Unit Set-up – Laurie

Ready to go, nothing additional to share.

 Check-Out – Jeanne/Kathy

Jeanne will be recruiting checkout “helpers” once the cabins have been assigned.  Planning committee members will be spread across all of the units as follows:

·         Echo Hill – Sheila, Marie W., Marsha, Gail DV and Kathy

·         Blue Gill Bay – Frances, Carol, Cheryl, and Melonie

·         SCC – Lianne, Marie L., Barb, Mary K

·         CG – Shannon, Karen M, Jeanne, Kippy

Sheila has found a Las Vegas puzzle and some games.

Decorations – Frances/Carol

They have purchased casino signs, dice light sets, door panels, an inflatable slot machine, and tablecloths for the snack table. Frances got 101 packs of cards from the casino boats in LA donated. She will be ordering visors (green) for committee members and will be making “dealer” arm bands.  Frances has enough cord left over from last year that we can use for the swaps.

Meals/Snacks - Mary Kottkamp

Feedback from last year indicated participants didn’t like Iceberg lettuce on the salad bar (would prefer a Spring Mix, or Romaine, please).  Also need any pork sausage/bacon on the side (no egg casserole with meat mixed in) to accommodate Jewish participants.  Mary is working with Barb for possible menu options. Mary will send out a revised “adult” menu for consideration.

 Workshops/Trainers/Instructors – Lianne

Registration packets are underway. We reviewed the information packet and the preliminary registration form. Lianne will send this out to the committee tonight. Lianne would like the committee to carefully review the packets and let her know if there are any typos or other mistakes. Assuming we find nothing on the Planning Committee forms, Lianne will update for the Trainers and email to them this weekend. She will also complete the participant package and we will make it available to the general public next weekend (~9/24/10).

 We also reviewed the “Beyond the Troop Event Application” and “Event Emergency Plan” that Lianne had to submit to Bebe Joyner last week so that the event could be advertised at Cluster/SU meetings. A copy of what was submitted is attached. (Please advise Lianne if you don’t want the “job” you were assigned so a revised form can be submitted).

 Publicity – Barb Osment

Barb publicized our event at her cluster and SU meeting last week. Barb submitted a flyer to Bebe to share at other cluster meetings and to post on the website. Barb to email to Lianne and Lianne will send to committee. (attached). Need Colleen to distribute to other Membership Specialists. Bebe asked if the DNR could speak to the leaders about possible volunteer opportunities. They can be included at lunch Saturday/during roundtable and Marketplace session. If they provide handouts ahead of time we can put in check-in packets.

 Website – Marie L

A full class descriptions page has been added to the Mountain Magic web site. Marie really appreciates all of the instructors who sent photos. She can continue to add photos, so if you have a crafts class without a photo, you can still send her one for posting . To access the new page, just look for the “Class Descriptions” link on the right hand side of our main web page http://www.3leaves.org/mm2011/.  Question for Gail D-V: what are “stroballs”? (It’s in the description of Angels for all Ages).  Marie will be back Sunday evening. If the registration packets are ready in the next few days, she should have time in the evenings next week to get everything posted and “live”.  She’ll be out of town again the first week in October (10/3-10/9), so she’d really like to get everything up before then. If that’s not possible, She’ll be back on October 9th and can work on it then. 

 Planning Committee Fall Retreat – Becky

Becky is looking forward to again being our fall retreat chairperson. We are good with our retreat date – October 29-31. We’ll plan to carpool up (is a van/driver available from the council office?) Friday afternoon/evening and return home on Sunday before lunch. We will plan carpools and meals at our next conference call on 10/21.  Kippy to coordinate.

 Guest Services – Melonie Luxbacher

Melonie has ordered the “Welcome” signs for the parking lot and will bring receipts to the next meeting for reimbursement.

 Council Liaison – Colleen Gerrior

Colleen was at a recruitment meeting tonight and unable to attend. We will need Colleen to do new registration checks on Oct. 1 for planning committee and for participants and trainers as they register.

 We will have a conference call next month on our “normal” meeting day on Oct. 21st, but it will be at 8PM instead of 7PM to accommodate schedules. It will be a short call to get committee reports from those that can’t attend the planning committee getaway at Becky’s house and to finalize menus and carpool arrangements. Email Lianne if you need the phone number and pass code for the conference call.
