MOUNTAIN MAGIC LEADER WEEKEND
MEETING MINUTES
February 18, 2009 - 7:00 – 9:00 PM

The team enjoyed pizza and lots of goodies brought by all the committee members during the first hour of the meeting.

Business Meeting:

At the meeting, we will (not necessarily in this order):

1. review class and overall feedback forms & complete Lessons Learned - Lessons Learned complete; review of class/overall feedback forms incomplete – revisit next month

2. pick theme for 2011 event (our 10-year anniversary!!) - note: mark your calendar for Jan. 21-23, 2011  Done – see below

3. Identify committees/duties for next year & start signing up - incomplete – revisit next month

4. Mail feedback forms to instructors (stuff envelopes/add thank-you letter) - incomplete – Lianne to send out before meeting next month

5. Begin to identify classes/instructors for 2011 (especially new ones!) began to discuss; incomplete – revisit next month

6. Review timeline for 2011 event incomplete – revisit next month

7. Eat and be merry! DONE!!

8. Instructor/committee reimbursements (if you haven't turned yours in yet) DONE

9. Pick date/time/location for monthly meetings done – see below

10. Virginia Suty Brick/memorial? done – see below

11. Finance report/read-out incomplete – revisit next month

2011 Theme
We tallied the votes, and the theme for next year will be: Casino Night
Tagline: “What Happens on the Mountain Stays on the Mountain”

2011 Planning Committee Meeting Date/Time/Location
Team discussed whether we wanted to change the meeting day/time of our planning committee meetings for the 2011 planning year, but agreed to keep planning committee meetings on third Thursdays of the month from 7-9PM. Mark your calendar for these meeting dates: Mar 18, Apr 15, May 20, June 17, July 15, Aug 19, Sept 16, Oct 21, Nov 18 and Dec 16

We discussed locations for our meeting (since the VSC has moved to Mableton). Team agreed we would like to keep meetings in the former location area. Kippy has made arrangements for us to have our meetings at Moe’s (Briarcliff Rd. @ North Druid Hills). They have a separate room that will be reserved for us. Here’s the scoop from Kippy:

“I called Moe's Southwestern at Briarcliff Rd & North Druid Hills - I spoke with the manager-in-charge, James and he put our group down for 3/18/10 from 7 pm to 9 pm in their back room. That room can be closed off. I told him we were having our planning meeting tonight and I would contact him tomorrow about booking additional nights & which months. I do not believe this would have phone that could do conference calls but when we do conference calls, we can just do them from our individual homes.”

Virginia Suty Brick/Memorial?
The planning committee unanimously agreed to donate money to a brick in memory of Virginia Suty. $100 will be donated towards a brick from her Service Unit and the Mountain Magic Committee jointly.

Suggestion for (additional?) staff liaison – Anita Stuart (Dalton)

Marie has set up the 2011 Website – www.3leaves.org/mm2011. We set up a username & password for the few private planning files. (Email a committee member or ask at the next meeting if you need it). Marie has also posted all the third Thursday meeting dates on the 2011 planning page. Please check the dates to see if there are any that present conflicts on your calendar.
