MOUNTAIN MAGIC LEADER WEEKEND
MEETING MINUTES
Dec. 16, 2010 - 7:00 – 9:00 PM
The meeting this month was held at Lianne’s house for a holiday get-together.
Thanks to everyone for bringing all the yummy treats to share!!
We had a lovely party, followed by a quick committee meeting.
Committee Reports
Registration – Marie W
We have 156 people registered for the weekend.
Kippy and Jeanne are in the Farmhouse with 2 participants in the leader
room; Barb and Diane and 2 additional participants are in the main room (total 8
at Farmhouse); there are 2 participants in cots at Echo Hill, plus Marie Wright
and Kathy Stephan. We have 3
available “Friday only” beds (2 TR + 1 EH).
Marie has new “final” class counts for instructors (Marie to email class
counts to Lianne to email to the instructors). There were only a few classes
that did not meet their minimum (1 horseback riding class, Recognitions, and
Sewing Basics did not make minimum) – we went ahead and decided to cancel those
classes. Marie also has Health
History forms to give to Marsha. Sixteen people have requested financial aid
(partial or full). We may want to consider next year offering financial aid to
only those in our council (several of the requests were from out of council.)
Publicity – Barb Osment
Nothing new on publicity. Barb now
has the unicorn embroidery available on her sewing machine at home. If you want
to bring a shirt, Barb will embroider it for $5 (you provide the shirt). (We
used dark purple polo shirts with collars from Lands End last time – can be long
sleeve or short sleeve, your choice).
You will need to get your shirt to Barb ASAP if you’d like one (or a 2nd
one) for the weekend.

Here’s a quick web site update:
1. As
of this morning (12/16), “Registration is now closed” notices have been posted
and the online payment buttons have been removed.
2.
PayPal refunds were issued this month to two people who opted to cancel instead
of remaining on the waitlist.
3. We
have a current balance of $3,434.99 in the PayPal account.
Decorations – Shannon
Shannon will place the order for the patches tomorrow. We will order 170-175
patches (depending upon price).
**UPDATE** - the patches may not make it in time for the weekend. Note that in
the future we will need to order earlier. The amount of writing would require a
4” patch and cost $2.85 each. If we reduce the writing, we can make patch 3” and
keep cost under $2. Shannon to move forward with this plan (we may have to mail
patches to the participants if they do not arrive in time).
Participant Check-in – Shannon
Shannon has folders from everyone that purchased, except Colleen. We will meet
on January 13 from 7-9 PM at Lianne’s House to stuff check-in packets. BYO
dinner.
Meals – Mary K.
Mary to work with Barb and finalize menus.
Finalized menus need to be posted to the website ASAP. Marie W. to email
Mary K. dietary restrictions/allergies.
Instructor Gifts - Karen
We need 48 instructor gifts (1 male instructor).
Classes/Workshops
A final class count will be given to instructors ASAP. No changes will be
allowed at weekend.
Our next meeting will be on January 13th at 7PM at Lianne’s house. We will be stuffing the check-in packets and finalizing any other details. Bring your own dinner.
