MOUNTAIN MAGIC LEADER WEEKEND

MEETING MINUTES

September 18, 2008 - 7:00 – 9:00 PM

Attendees: Lianne, Frances, Jeanne, Shannon, Marie, Marsha, Kathy S., Carol, Kippy, Laurie, Gail D., and Melonie.

The planning committee all put on disguises and took “mug shots.” What a hoot!

Registration/Admin – registration packets will need to be finalized in Oct. Kippy is working on finalizing the classes in the next few weeks. Goal is to have them ready by our next meeting.

Website – website is www.3leaves.org/mm2009. Patch proposals were posted to the website last month; Marie will post the “final” patch design and the generic “Misty” artwork (that Diane is using on the flashlights) to the website.

Decorations –Frances got 200 plates donated from Martin’s restaurant for the snack table.

Participant Check-In – Shannon has priced new nametags, will bring details to next meeting.

Unit Set-up – Laurie to get with Gail Draper-Vaughn re: the plastic yard signs (realtor sign size) – they are $15 for printing on each side and comes with the metal frame.

Participant Check-Out – Kathy is ordering magnifying glasses as check-out gift. Oriental Trading has 5.25” 4x magnification $4.99/10. We decided on the larger ones (has clear handle, we’ll add MM2009 and date). We already have envelopes for checkout.

Unit Check-Out – Shannon reviewed buckets - missing some misc. items and 1 bucket (Kathy can supply another bucket). This time we are going to be putting trash bags (tall kitchen) in each bucket. Also have some plastic gloves to put in the buckets (Marsha can provide additional gloves if needed).

Entertainment –Marsha talked to Pat Callaway about leading graces for the weekend. Kippy to contact Pat about teaching a possible musical/harmony (?) class. Jeanne to have sample ideas for Saturday night activities at next meeting.

Puzzles, Games, & Activities Chair – Sheila has a CSI puzzle. Also has gotten a Clue game. She is making a collage and needs pictures from previous year’s events. Marie will fix the links on the website so Sheila can download the pictures she wants to use.

Meals/Snacks – the new Camp Director has arrived! Barb to get with her re: meal choices

Workshops/Trainers – Kippy to get with new camp director re: classes – challenge tower, adventure course, archery, riflery. Sheila is checking on the council classes (several now have instructors); campfire gourmet, deluxe box ovens, beginning backpacking don’t have instructors yet. Jeanne asked if we will be offering Guiding the Journey? She can teach twice – Fri PM and Sun AM (will require 2-hour timeslot on Sun). See revised timeslots:

Lianne to check on massage therapist to replace Jennifer Johnston. Committee liked idea for “mystery” class – don’t know what you’re signing up for until you get there.

Trainer Gifts – Gail Draper-Vaughn to take over this committee (haven’t heard from Cris).

First Aid Team - Next meeting, Jeanne will bring the walkie-talkie codes for review. Shannon brought a Caboodles to use as a first aid kit.

Camper Recognitions - Diane has ordered the flashlights with “Mountain Magic” imprinted on it. (they will be generic so they could be used multiple years). These are going to be used for the “prizes” for camper recognitions. We could also use this as a welcome gift for all campers. Team liked the idea. Diane has “store credit” she’s going to donate to the cause.

Publicity – Jeanne to make a “save the date” postcard to hand out at council training classes.

Planning Committee Fall Retreat Chairman –We are good to go for the 2^nd weekend in November 7-9! Save the date! Jeanne has reserved the council van and it will be available for carpooling.

Barb has an embroidery sewing machine. She will look into the possibility of doing embroidery for “staff” shirts – we liked the idea of golf type shirts.

Our next regular committee meeting will be Thursday October 16 at 7:00 PM at the VSC – Cadette Room.
