MOUNTAIN MAGIC LEADER WEEKEND

MEETING MINUTES

November 20, 2008 - 7:00 – 9:00 PM

 

Attendees: Lianne, Gail Q., Karen McF., Gail D-V, Laura Jo, Barb, Marsha, Frances, Sheila, Shannon, Jeanne, Marie, Laurie, and Kippy.

COMMITTEE REPORTS:

Registration/Admin – Registrations are coming in, but not too fast. Probably slow due to the economy. Online payments via PayPal are working well. Specific assistance form has been posted to the website.

Website – Lianne to send instructors email requesting they provide photos of the item(s) they are making in their class(es) to post to our website. Online payments are up and running. Prices will go up $10 at midnight 12/6. Lianne needs to send and email reminder to everyone that prices increase on 12/6.

Decorations – Frances got 25 child fingerprint kits from the Clayton County Police Dept. Jeanne to see if she can get more from one of her contacts. Could put these in the check-in packets if we can get enough?

Participant Check-In – Shannon will get the nametags by the December meeting. (Sam’s has them the cheapest).

Unit Set-up – Laurie has the information for the signs. She’ll try to get the signs for the December meeting.

Participant Check-Out –Marie to make a ½ sheet flyer to put in checkout packets to have participants upload their photos to our online photo album.

Unit Check-Out – Nothing new to report. Kathy to bring one more bucket; Marsha to bring non-latex gloves to Shannon to complete the cleaning buckets.

Entertainment/Puzzles, Games, & Activities Chair – Friday entertainment – Sheila is working on get-to-know-you Bingo; Jeanne will make copies. Sheila has also found Clue, TV Clue game, & Trivial Pursuit games. Sheila is also going to work on graces (Pat won’t be coming). Maybe we can get Carla (or someone else) to lead the graces? Jeanne to provide write-up for weekend entertainment to include in the confirmation packets (will email to Lianne by 12/5/08).

Meals/Snacks – Barb has emailed the new Camp Director re: meal choices and will present to committee next meeting.

Workshops/Trainers – Jo-Ann Merritt had planned to offer a Stained Glass Angel class, but it didn’t make the registration form. It will be offered as a walk-in class on Friday night, limited to first come first served. Lianne will include information in the confirmation packets to let folks know that is a Friday option.

Door Prizes – Karen still needs folks to save the funny papers to wrap the door prizes. If anyone has additional door prizes, bring them too.

Trainer Gifts – Gail Draper-Vaughn has ordered gifts, looking for "evidence bags" to put them in. Gail will order 36 for all the trainers plus 6 extras for camp staff (Ranger LaMott, Gloria Driggers, 2 kitchen, Candace replacement, Jill Allison?).

Photography/Historian – Nothing new to report. Gail will investigate the cost of mailers, etc. (may be free from US Post Office? – USPS.com). We will want to have the mailers available at the weekend so folks can self-address when they purchase them.

First Aid Team – Marsha presented the new emergency procedures. Planning committee will meet at the flagpole in the even of an emergency. Primary on-site emergency team lead onsite is Lianne. (Lianne to contact council contact – Ranger LaMott), offsite (Gae DeAngelo). Call 911/direct traffic – Ranger LaMott. Additional onsite crowd control – Jeanne Andres. Karen McFadden – general administration, hospital, calls, etc.

Camper Recognitions – flashlight/compasses have arrived!

Publicity – Cluster meetings 12/4 (Rockdale) and 12/9 (DeKalb). Jeanne has been putting in the newsletters. Jeanne to make copies of the registration form and put in the volunteer pick-up room (she passed out all the extra copies at the SE DeKalb SU meeting). Jeanne will make sure that Bebe has the info to include in the weekly email blasts.

Planning Committee Fall Retreat – The retreat was a big success! MANY THANKS to Becky and Randy for sharing their house with us!!

Planning Committee Shirts: Barb has an embroidery sewing machine, but she’s still having computer-to-embroidery-machine glitches right now. Folks would buy their own shirts with choice of long or short sleeves. Barb got pricing – Land’s End has nice Deep Purple $19.50 - $25 (sizes S-3XL); long sleeve $25-30. Interest list was passed around – sign up name, size, and long/short sleeve. Karen McFadden to check and see if there are less expensive options.

Our next regular committee meeting will be Thursday Dec. 18th at 7:00 PM at the VSC – Junior Room.
