MOUNTAIN MAGIC LEADER WEEKEND

MEETING MINUTES

July 17, 2008 - 7:00 – 9:00 PM

Attendees: Lianne, Barb, Kippy, Carol, Frances, Shannon, Gail, Marsha, Marie, Karen McF.
Guests: Gail Draper-Vaughn, Laura Jo Johnson, Melanie Luxbacher

Guests shared classes they could teach. Laura Jo showed jeans laundry detergent box totes. Can also do cereal box purses. Melanie showed fabric flowers and embroidery floss flowers. Gail advised they would love to teach some classes – just let her know which ones we would like.

Registration/Admin - Team reviewed budget from last year and agreed on prices. Lianne to bring “draft” of registration form to next meeting.

Website – website is www.3leaves.org/mm2009. [Come to the next meeting or email Marie for the password for the protected area.] Kippy and Marie will get together to get class listings up on website. Marie to print website as “save the date” flyer in pdf format & email to Gail to share with her SU.

Decorations – Carol got crime scene tape from her police friend. Kathy got black sheets for the backdrop. Frances showed a cute Police lineup/mugshot kit available from Oriental Trading. We plan to take mugshots of all committee members at the upcoming meetings. They have obtained hats for the committee members – black baseball hats with “CSI” on it. Do we want handcuffs and fake moustaches too? Frances has fabric for swap necklaces. Kim will do the patch design this year (but won’t be able to serve on the planning committee this year). Will have sample design for next meeting.

Participant Check-In – folders will be going on sale soon. We’re looking for the 1 cent folders at Staples again.

Unit Set-up – Car54 where are you? Lianne called to check on Laurie. She had knee surgery the early part of July and is doing well now. Laurie got tied up tonight – should be back next month. Gail Draper-Vaughn has recently priced the plastic yard signs (realtor sign size) – they are $15 for printing on each side and comes with the metal frame. She can also get the 8.5x11 small signs with wooden stake for ~ $1.50 each.

Unit Check-Out - Karen brought buckets for cleaning supplies. Shannon will come next meeting with proposal for Sunday schedule changes (to incorporate kaper time in the weekend).

Workshops/Trainers – Lianne gave Kippy a CD with all the 2008 classes/instructors. Kippy will get going on the classes for 2009.

Photography/Historian – Gail Q. brought prices for card readers. They range from $18 to $150. Gail Draper-Vaughn has photo card reader she is willing to loan us for the weekend, so no need to purchase. Committee thought it would be fun to set up a crime scene photo lab. Since we have the card reader, we could get participants to share their photos from the weekend. We can “Sell” CDs of all photos for $5.

First Aid Team - we would like Marsha to create emergency procedures worksheet (in Planning SU & Cluster Events packets) and present at next committee meeting. Marsha wants a bigger first aid kit. Shannon has a Caboodles she’ll bring next meeting.

Camper Recognitions - Diane can get flashlights with magnifying glasses and get them with “Mountain Magic” imprinted on it. We could also use this as a welcome gift for all campers. Team liked the idea. Diane to get pricing/minimums for next meeting.

Planning Committee Fall Retreat Chairman – Lianne left message for Becky asking her to let us know which weekends she’d be willing to have us at her house in Ellijay in the fall. Lianne to send out poll asking committee members which weekends they are available.

Barb has an embroidery sewing machine. She will look into the possibility of doing embroidery for “staff” shirts – we liked the idea of golf type shirts.

Gail Draper-Vaughn, Laura Jo Johnson, and Melanie Luxbacher all volunteered to be on the planning committee. Gail will do Trainer Gifts if Cris doesn’t want to. They can help where needed.

Our next regular committee meeting will be Thursday August 21 at 7:00 PM at the VSC – Cadette Room.
