MOUNTAIN MAGIC LEADER WEEKEND

MEETING MINUTES

August 28, 2008 - 7:00 – 9:00 PM

 

 Attendees: Lianne, Frances, Jeanne, Shannon, Marie, Sheila, Marsha, Kathy S., Barb, Kippy

November 8-9th – weekend retreat at Becky’s house. Jeanne has reserved the council van and it will be available for carpooling.

COMMITTEE REPORTS:

Registration/Admin - Team reviewed budget from last year and agreed on prices.  Lianne to “draft” registration form for next meeting. Nametags – Shannon looking into new standardized plastic holders. We will use everyone’s thumbprints on the nametag as the “clipart” for this year. Lianne will print names as usual from database.

Website – website is www.3leaves.org/mm2009[Come to the next meeting or email Marie for the password for the protected area.]   Kippy and Marie will get together to get class listings up on website.

Decorations –Frances showed a cute Police lineup/mug shot kit available from Oriental Trading.  We plan to take mug shots of all committee members at the upcoming meetings.  They have obtained hats for the committee members – black baseball hats with “CSI” on it.  They also got handcuffs and fake moustaches too.  NEED  EVERYONE ON THE PLANNING COMMITTEE TO TRY TO ATTEND NEXT MONTH’S MEETING FOR MUG SHOTS!!  Frances has fabric and yarn for swap necklaces and some stuffing (may need to buy more stuffing). Becky has offered to make the swap necklaces if we get the stuff to her.  Frances got microscope for lab. Carol is working on the screen print for t-shirts/tote bags.  Kim will do the patch design this year (but won’t be able to serve on the planning committee this year). We reviewed several sample designs and suggested changes to Kim (Marie to post to website). Kim to send updated design by email next week. Updated sample designs are online.

Participant Check-In – Shannon and Jeanne have obtained the check-in folders from Staples again.  Shannon will investigate new nametags for next meeting.

Unit Set-up – Car54 where are you? Lianne called to check on Laurie. She had knee surgery the early part of July and is doing well now. Laurie got tied up tonight – should be back next month.  Gail Draper-Vaughn has recently priced the plastic yard signs (realtor sign size) – they are $15 for printing on each side and comes with the metal frame. She can also get the 8.5x11 small signs with wooden stake for ~ $1.50 each.

Participant Check-Out – Kathy is currently pricing magnifying glasses as check-out gift. Want something useable but not too pricey.  Oriental Trading has 5.25” 4x magnification $4.99/10.  Also have 4.5” size (no specification on magnification for $3.29/dozen.  We decided on the larger ones (has clear handle, we’ll add MM2009 and date).  We already have envelopes for checkout.

Unit Check-Out - Shannon presented proposal for Sunday schedule changes (to incorporate kaper time in the weekend).  Karen gave Shannon the buckets & she’ll review for supplies, etc.

7:00 – 8:15 breakfast

8:15 – 8:45 Scouts Own

9:00 – 10:30 class time

10:30 – 11:15 pack up/kaper time

11:15 – 12:00 cabin checkout

12:00 – 1:00 lunch & participant checkout

Entertainment – working with the committee for Sat PM entertainment (no movie will be offered this year).  We’ll ask for Service Unit Skits in addition to the individual skits.  Team to submit suggestions for possible graces (Marsha to talk to Pat Callaway about possibly leading?). Sheila to work on Scouts Own

Meals/Snacks – Barb advised meals should still be $. Candace no longer with MM, working will Jill Allison now, new Camp Director to arrive ~9/8.

Workshops/Trainers – Note to self: Kippy can’t do this and school recruits at same time!  Sheila is going to help Kippy with the council classes getting the forms completed/turned into Mary and finding trainers if we don’t have them yet.

Door Prizes – we have all the door prizes we need for this year.

Trainer Gifts - nothing to update.

Photography/Historian – Gail Q. brought prices for card readers. They range from $18 to $150. Gail Draper-Vaughn has photo card reader she is willing to loan us for the weekend, so no need to purchase.  Committee thought it would be fun to set up a crime scene photo lab.  Since we have the card reader, we could get participants to share their photos from the weekend. We can “Sell” CDs of all photos for $5. Marsha has pack of about 50 CDs she can donate.

First Aid Team - Marsha presented the emergency procedures worksheet. Marsha is a level 2 First Aider (for events 200+) and will have the first aid kit. She will print out blank accident report to have on hand, and Lianne will fill in the report with the accident facts.  Barb will contact the camp ranger in case of emergency. She will also contact the council rep (Jeanne Andres).  Kippy will direct the participants away from the emergency and keep them calm, and will be assisted by other committee members.  Next meeting, Jeanne will bring the walkie-talkie codes for review.  Marsha wants a bigger first aid kit. Shannon has a Caboodles she’ll bring next meeting.

Camper Recognitions - Diane can get flashlights with magnifying glasses and get them with “Mountain Magic” imprinted on it. These are going to be used for the “prizes” for camper recognitions.  We could also use this as a welcome gift for all campers. Team liked the idea. Diane has “store credit” she’s going to donate to the cause. Diane to get pricing/minimums for next meeting.

Publicity – Jeanne to make a “save the date” postcard to hand out at council training classes.

Planning Committee Fall Retreat Chairman – Lianne left message for Becky to confirm our date. We are good to go for the 2nd weekend in November 7-9! Save the date!

Puzzles, Games, & Activities Chair – Sheila has found a CSI game and will make a scavenger hunt based on Mysteries & CSI.

Old items:

Barb has an embroidery sewing machine. She will look into the possibility of doing embroidery for “staff” shirts – we liked the idea of golf type shirts.

Gail Draper-Vaughn, Laura Jo Johnson, and Melanie Luxbacher all volunteered to be on the planning committee. Gail will do Trainer Gifts if Cris doesn’t want to. They can help where needed.

Our next regular committee meeting will be Thursday September 18 at 7:00 PM at the VSC – Junior Room.
