MOUNTAIN MAGIC LEADER WEEKEND MEETING MINUTES April 17, 2008 - 7:00 – 9:00 PM |
Attendees: Lianne, Kippy, Gail, Shannon, Marie, Frances, Kathy, Karen, Marsha.
The planning committee compiled “lessons learned” from the 2008 weekend and picked the dates for our committee meetings for the upcoming year. Typically, they will be the third Thursday of each month at 7:00 PM at the VSC:
4/17, 5/15, 6/19, 7/17, 8/21, 9/18, 10/16, 11/20, 12/18, 1/15/09, 1/23-1/25/09 – MOUNTAIN MAGIC!!
We may need to add an additional meeting in early January. The planning committee liked the "packet stuffing" session right before the weekend (scheduled for 1/15/09 this next year).
We talked at great length how to improve the Sunday experience. Do we want to be able to sleep in? We need to incorporate kaper time/checkout into the schedule. There seems to be lots of confusion about folks packing their personal belongings, loading their cars, doing kapers, etc.
Suggestion:

Scouts Own (?)
AM Classes - limit to just one 1.5 or 2 hour class instead of two classes
Schedule kaper time, packing, cabin checkout
Lunch
Closing Ceremony (?)
We talked about how to keep the number of classes intact if we offer no 3-hour and just one 1.5 hour class on Sunday. Suggestion - add additional Friday night classes? Should be a drop-in craft type class. Friendship blankets great. Could also do pop-top belts.
Saturday afternoon, could offer three 1.5 hour classes or one 3-hour + one 1.5 hour class. This would take up the slack for not offering 3-hour class on Sunday AM.
Reviewed additional lessons learned:
Meals - consider alternate arrangements for drinks/salad bar (pre-made?)
Unit set up - remember to bring lights for path, specify ahead of time (with Lamott) units to be used, turn on light at entry sign, need more durable signs?
Unit check-out - need to bring garbage bags.
Discussed who would like which committee positions. (Gray when unconfirmed).
Lianne brought copies of "thank you" letters to trainers letting them know we appreciated their time and effort at our 2008 event and inviting them to participate again in 2009. We included the feedback forms from their class(es) so that they could incorporate changes into the format for 2009 classes. The committee stuffed the envelopes and Kippy took them to mail at the post office (Kippy to give Lianne receipt to be reimbursed for the stamps).
Our next regular committee meeting will be Thursday 5/15 at 7:00 PM at the VSC.
