Welcome and Introductions In attendance were Lianne Griffin, Marie Lott, Marsha Sussman, Shannon Glapion, Frances Parks, Karen McFadden, Cris Agustin, Laurie Hackworth and Kathy Stephan.
Team reviewed the Committee actions and agreed on the following:
- Registration/Admin Lianne Griffin (chair) Reminder - Staff/trainers/volunteer "Early registration" 10/31; Early registration" for campers by 11/20 for "discount." Lianne to send reminder email to everyone.
- Check-In Karen McFadden (chair) Karen has kaper stickers to put on each nametag (5 colors). These are for mealtime kapers. Theyll be randomly assigned.
- Set-up Laurie Hackworth (chair) Laurie will write a paragraph be included in confirmation letter that outlines kaper responsibilities for the weekend. Shell run by Terry Otto for appropriate verbiage and email to Lianne by December team meeting. Shes working with her committee to figure out how to number beds and assign kapers. The team recommended assigning kapers by cabin instead of by bed (that will handle issue when no one is in a given bed).
- Participant Check-Out Kathy Stephan (chair) Lianne has envelopes; Kathy will assemble packets at the weekend. Laurie can make the teabag virtual tea invitations over the holidays; need Kippy to bring sample to next meeting. Kathy will bring teabags to the next meeting (she has a large box of old ones she is willing to donate).
- Unit Check-Out Shannon Glapion (chair) Karen McFadden has volunteered to be on committee, still working on other recruits. Team reminded that camping helpers get $5 coupon good towards class fees at check-in.
- Entertainment Terry Otto (chair) no update.
- Decorations Frances Parks (chair) Frances will have hats for planning committee next month. Frances has ideas for "hut" at entryway into the dining hall. Kathy has lots of jungle stuffed animals to use for decorations.
- Meals/Snacks - Terry Otto (chair) menu options were reviewed. The team decided on the following:
- Sat breakfast Adult Option 1
- Sat lunch Adult Option 3 note that we need either plain/non-seeded buns or some plain/some seeded. We have some people with nut/seed issues, so need choices without.
- Sat dinner want something like Girl Option 3 with modifications: would like chicken tenders, mashed potatoes, vegetarian green beans or option of green beans/steamed broccoli (have a broccoli allergy issue and/or need green beans without bacon or other meat), salad bar, assorted rolls, dessert.
- Sun breakfast Adult Option 2 but either need onions/peppers on the side as garnish, OR leave them off completely (we have someone with severe allergy to peppers of all kinds no peppers in any food, any meal, please!! This includes green/red peppers, hot peppers, chili peppers, etc., but excludes black pepper or other spices.)
- Sun lunch Adult Option 1.
- We like the Adult lunch and dinner beverage and dessert assortments.
- We will have some people who need vegetarian options, but we dont have a definite headcount on that yet can provide the total number of vegetarian options in early January.
- Workshops/Trainers Kippy Shea (chair) Still need to confirm instructors for Knots & Strings, Lashing, and Learning While Serving. Also, looking for alternate instructor for beads class.
- Door Prizes/Gifts - Cris Agustin (chair) Cris is still collecting door prizes.
- First Aid Team Marsha Sussman (chair) Today, Marsha sent Diane Loupe Cintas information so she can send a thank-you letter for the first aid kit from the committee.
