MEETING MINUTES April 28, 2005 7:00 – 9:00 PM DCNR/Metro3 Leader Weekend January 20-22, 2006

Welcome and Introductions – In attendance were Lianne Griffin, Kippy Shea, Frances Parks, Karen McFadden, Terry Otto, and Laurie Hackworth.

Team reviewed the Committees and agreed on the following:

• Registration/Admin – Lianne Griffin (chair) – Lianne and Marie are investigating PayPal (online registration/payment).  The committee agreed that we will not charge the additional $2 fee (we’ll use the “late fees” and if necessary money already in checking account
• Check-In – Karen McFadden (chair) - no update.
• Set-up – Laurie Hackworth (chair) – no update.
• Participant Check-Out – Kathy Stephan (chair) – no update.
• Unit Check-Out – NEED COMMITTEE CHAIR.  Lianne to ask Diane Loupe if she would be interested in chairing this committee?
• Entertainment – Terry Otto (chair) – no update.
• Decorations – Frances Parks (chair) – Frances has bought 8 yds. material for swap necklaces and has cotton for stuffing.  She has also purchased stuffed monkeys at dollar store and stuffed lions.  She is looking for a giant stuffed snake.  Frances is looking into purchasing safari hats for all of the planning committee.  Frances will have sample swap necklace made for next meeting.
• Meals/Snacks - Terry Otto (chair) – no update.
• Workshops/Trainers – Kippy Shea (chair) – Kippy to email trainers from last year to see if they will be willing to teach again this year. She has list of people who might be potential instructors.  If anyone wants to suggest instructors/classes, please contact Kippy.
• Door Prizes/Gifts - NEED COMMITTEE CHAIR.  Helen Smith-Tyler will not be able to be on the planning committee for this year.
• First Aid Team – Marsha Sussman (chair) – no update.
• Publicity – Laurie Hackworth (committee) – SUD conference 4/23 was cancelled.   Tuesday 5/3 will be YE cluster meeting at VSC; need “Save the Date” fliers before then to go home at May SU meetings.  Lianne to update and email to Terry Otto before Tuesday; Terry will print out, make copies, and distribute.
• Website – Marie Lott (chair) – website is up! www.3leaves.org/dcnr2006.

The committee then reviewed the timeline; no changes were made except in April (4/23 SUD conference (see Publicity above).

If planning committee members are incurring expenses, save receipts and complete expense reimbursement form (attached).  Bring with you to monthly planning meetings (or mail), and Lianne will reimburse you monthly.  The committee meeting was concluded at 9:15 PM.
