Detailed Instructions for Completing Membership Forms

Dear Troop Leaders:

The registration forms that you will be distributing to parents now are in duplicate. Both copies of the forms must be turned in to your Service Unit registrar as well as both copies of the Dues Summary form. The troop roster form is available on our web site (click here). Please turn in two copies and keep a copy for yourself. Please note that the dues are now $12.

At the bottom of the girl and adult registration forms, there is a box asking parents to consider making a contribution to the Annual Fund. Your Service Unit Annual Fund Chair can provide you with more information about the Annual Fund. Please encourage families to contribute to the Annual Fund! The suggested donation is $40. Of course they can give whatever they are comfortable with.

Before distributing the forms to parents, please highlight the top line in the box asking for a contribution to the Annual Fund. We want to draw parents’ attention to the campaign and we want to be sure they understand that the amount they are checking in this box is a contribution to the Annual Fund, in addition to the $12 membership fee.

When a parent makes an Annual Fund contribution, they can write it on either the girl or adult form. You might suggest to parents that they add the contribution to their form, if they are registering as an adult Girl Scout.

Dual Credits: Annual Fund
Council will count dual credits on Annual Fund contributions this yea (where a parent makes a single contribution that should be reflected for more than 1 daughter in Girl Scouts). To ensure that both girls receive credit parents should note this in the right hand margin above the box where dues/Annual Fund amounts are listed. For example, if a parent contributes $40 and wants it reflected as credit for more than 1 troop, that parent might write:
DC (meaning dual credit)
Troop 12345
Troop 54321
This should be written on the form where the money is actually contributed

Please ask parents to print and fill out the forms completely. You should review the forms before passing them along to your Service Unit registrar to ensure that no information is missing.

Be sure to complete the little box in the bottom right-hand corner of each girl/adult registration form:

Council code – 329

Troop number – (enter your own troop number)

Service Unit Code (for Three Leaves SU) – 821

Registration Area – 400

Payment for Council dues and Annual Fund donations will be accepted in cash, by check and by credit cards (Visa, MasterCard and American Express). Debit cards are not accepted. Young ladies who have earned Cookie Dough through the cookie sale can continue to pay their membership dues in that manner.

Ideally, one payment method should cover both dues and Annual Fund. Exceptions to this are:

Troop dues (if paid by the troop or with Cookie Dough)

Service Unit dues (which should be paid separately to the Service Unit).

Troops can register during spring registration with just one leader (either a 01 or 02). However, those troops must register an additional leader before they can start meeting in the fall. Remember that all troops must have at least two leaders who are unrelated and living at different addresses.

To help your Service Unit registrar, please paperclip cash or checks (for dues and Annual Fund payments) directly to the registration form (or forms) that they cover. Do not use any staples!

Deadlines and Spring Incentives:

To qualify for troop incentives (see flyer with your packets), your paperwork must be given to your Service Unit by Friday, May 22.

Most Important: Because we are accepting credit cards, it is important that you turn your paperwork in to your Service Unit as quickly as possible. We don’t want credit card expiration dates to pass before the paperwork is processed. It is equally important that all paperwork should go through your Service Unit before being turned in to the Council office. Please ask parents not to turn paperwork in at the counter in the Council office, even if it is after May 22. It doesn’t speed up the registration if paperwork is turned in at Council. Instead, it complicates everything at the Service Unit, which is trying to track registrations of their troops. All registrations should be given to the troop leader, who then passes them to the Service Unit registrar.
